N8N: the automation tool professional digital agencies use

If you've heard of Zapier or Make and wondered whether there's something more powerful, more flexible and without the usage limits of paid platforms, the answer is N8N. It's the automation tool we use at Webiting for most of our clients' projects, and in this article we explain exactly what it's for and how it can help your business.

What is N8N?

N8N (pronounced "n-eight-n") is an open-source workflow automation platform. It lets you connect practically any app (Gmail, WhatsApp, Stripe, HubSpot, Airtable, Google Sheets, Shopify, Telegram and over 400 more integrations) and create automated flows between them without writing code.

Its big advantage over alternatives like Zapier is that N8N can be hosted on your own server, which means full control of your data, no monthly operation limits and no subscription cost based on usage.

What N8N is and why more and more small businesses in Spain use it

N8N (pronounced "n-eight-n") is an open-source workflow automation platform. It connects apps, services and APIs so they carry out tasks automatically, with no human involvement. It was created in 2019 and has grown exponentially because it offers something its paid competitors don't: full control without expensive monthly licences.

Unlike Zapier or Make, N8N can be installed on your own server. That means your customers' data and your processes don't pass through third-party servers, which matters for companies with privacy or data protection (GDPR) requirements. And the cost per automation doesn't scale with usage as it does on SaaS platforms.

For Spanish small businesses, the main advantage is financial and practical: once the flows are set up, maintenance is minimal and running costs don't soar as the business grows.

How does it work in practice?

An N8N flow works with "nodes": each node is an action or a condition. You can create flows like:

  • When someone fills in my website form → send a confirmation email + add them to my CRM + notify me on Telegram.
  • When a Stripe payment comes in → create an invoice in my accounting system + email the customer their access details.
  • Every Monday at 9:00 → pull the summary of last week's pending orders and send it to me on WhatsApp.
  • When someone types "price" in my website chat → the chatbot replies with the up-to-date price list.

"N8N is like having an invisible employee who never sleeps, never forgets anything and carries out your instructions exactly."

N8N vs. Zapier vs. Make: which to choose?

All three platforms are for automation, but they have important differences:

  • Zapier is the easiest to use but also the most expensive at scale. Every "zap" (flow) beyond the basic paid plan is charged per operation.
  • Make (formerly Integromat) is more flexible than Zapier and cheaper, but it's still a cloud platform with monthly operation limits.
  • N8N is the most flexible and powerful, especially for complex flows. Because it's self-hosted, there are no usage limits or variable costs. It needs a little more initial setup, but in the long run it's the most cost-effective option for businesses with a lot of automations.

Which businesses benefit most from N8N?

N8N makes particular sense for businesses that:

  • Have several digital tools that aren't connected to each other (CRM, forms, invoicing, email marketing...).
  • Do repetitive tasks by hand several times a day or week.
  • Receive lots of orders, enquiries or leads that need to be processed systematically.
  • Want to combine automations with artificial intelligence to create smarter flows.

The N8N flows most requested by Spanish small businesses

After implementing dozens of automations for businesses all over Spain, these are the most common flows with the most immediate impact:

  • WhatsApp notification when a new lead arrives: When someone fills in the website form, N8N detects the submission, extracts the data and sends a WhatsApp message to the sales team within seconds.
  • Automatic email reply with personalised information: The lead receives an instant email with information relevant to their enquiry, based on the details they left in the form.
  • CRM → spreadsheet sync: Whenever a customer is created or updated in the CRM, N8N automatically reflects it in a Google Sheet shared with the team.
  • Appointment reminder on WhatsApp: 24 hours before an appointment, the customer gets an automatic WhatsApp with the details and a link to confirm or reschedule.
  • Automatic invoice when a project is marked complete: As soon as the person in charge marks the job as finished in the management tool, N8N generates the invoice and emails it to the customer.

How much can you automate without knowing how to code?

N8N has a visual interface that lets you build flows without writing code in most cases. However, more complex automations (data transformations, advanced conditional logic, custom API integrations) need some technical knowledge.

That's why many small businesses choose to outsource the design and implementation of their flows to agencies like Webiting, and then manage the existing flows themselves once delivered.

"N8N isn't the future of business automation: it's already the present. And the small businesses using it now have a real competitive edge over those that aren't yet."

Security and privacy with N8N: why it matters where your data is hosted

One of the least mentioned advantages of N8N over Zapier or Make is control over your data. When you use Zapier, all your data (customer details, emails, sales information) passes through Zapier's servers. That can be a legal issue in regulated sectors (healthcare, advisory, financial services) or simply a legitimate privacy preference.

N8N can be installed on your own server or on one controlled by your agency. Your data never leaves infrastructure under your control. For businesses that handle sensitive customer information, this can make the difference between complying with GDPR or not.

At Webiting we deploy N8N on dedicated instances for each client when the project requires it, with automatic backups and restricted access. The business has its automations running without depending on any external SaaS.

How do we implement N8N at Webiting?

The process is simple: first we hold an assessment session to identify the business's manual processes and which ones would have the most impact if automated. Then we design and build the flows in N8N and test them before delivery. The client receives the flow working, documented and with support for future changes.

The cost of each automation depends on its complexity and the number of integrations, always with a fixed quote before we start.

Which manual process in your business takes up the most time each week?

Tell us. There's probably an N8N automation for it that can be designed in less time than you think.
